PAYMENT TRANSACTIONS
All payment transactions are handled by a third-party payment gateway Credit Call, whose secure transaction processing environment exceeds industry standards such as PCI DSS. We do not process any credit card details on our own website and any cardholder data is secured by using a combination of symmetric and asymmetric cryptographic algorithms.
At this time we do not accept American Express card payments.

REFUND TRANSACTIONS
Orchid House will process your refund and credit the card you used for your booking within 24 hours of the request. Once that has happened, your bank will take care of the rest but please note that depending on the bank it may take them up to 7 working days to post the credit to your account, and up to 2 billing cycles to then show on your statement - unfortunately we have no control over this.

ROOM DEPOSITS / CANCELLATION POLICY
Rates require full pre-payment at time of booking, this policy will be displayed next to the rate on booking. Your rate does not include any incidental charges which you may incur during your stay and these are payable on departure.
Please refer to the cancellation policy stated on your confirmation or at the point of booking.
We currently have a 72-hour cancellation on room bookings, with a 7-day cancellation on package holidays. Please email Bookings@orchidhouse.uk if you need to amend your stay.
Cancellation after this period stated would result in us retaining the charge for your stay.
If we are forced to close due to COVID-19, bookings can be transferred or cancelled at no charge.

GENERAL BOOKING POLICIES
All of our promotional offers are subject to availability, valid for new bookings only and are not available in conjunction with any other offer. All promotional offers will carry redemption and expiry dates.
Orchid House in Worthing adopts dynamic pricing and the price of our rooms fluctuates based on demand. When you make a reservation request, we'll give you a total price for the rooms and number of nights you've requested. The price you pay is the price quoted to you at the time you make your reservation.
Room prices are per night and are inclusive of VAT at the prevailing rate, however do not include any incidental charges thereafter. These will be charged to your card on departure, unless you are booking one of our all-inclusive packages, in which case the price is set and agreed upon at the point of booking.
You may wish to take out room cancellation insurance in case you need to cancel your reservation.

GROUP RESERVATIONS
A reservation of four rooms is considered a group booking. If you wish to make a group booking, please call Orchid House in Worthing directly.
Children: You can only make a booking if you are 18 years old or over. If you arrive at Orchid House in Worthing and are under 18 years of age you will not be permitted to stay alone.
The maximum room occupancy is two adults. You must not exceed the maximum occupancy for the room allocated to you. We reserve the right to conduct checks on occupancy. Occupancy is not transferable.
Children aged 16 years and over are classified as adults and will be charged the full adult rate. Please note that you will need to book an additional bedroom for your children, this will be charged at the full adult rate.
Under 18s are not permitted to stay at Orchid House in Worthing unless a parent or guardian is also staying in the hotel. We reserve the right to request valid photographic proof of identity and age, so please bring this with you otherwise where requested you will not be permitted to stay.

CHECK-IN TIMES
Check in time for accommodation is from 4pm. An early check in can be requested but is not guaranteed.
Check out time is by 11am. Late check outs until 12 noon can be requested - subject to availability. For late check outs after 12:00, a fee of £20 per hour will apply.

DAMAGE TO PROPERTIES, FIXTURES, OR FITTINGS
Orchid House in Worthing will hold the Client responsible for any damage caused through negligence by the Client, the Client’s guest or the Client’s contractors.
You are liable for any damage or removal or accommodation property during your stay and whilst on the premises. We are strictly a non-smoking establishment; therefore, this extends to damage caused by smoking in your room. Any associated costs as a result of damage or removal will be your sole responsibility. Charges to be paid by yourself shall be at the sole discretion of Orchid House in Worthing.
There is a designated permitted smoking area by the bicycle shed in the car park and smoking is therefore not permitted anywhere else on the premises or the surrounding gardens. If we find any evidence or believe that you have been smoking in your room during your stay, we will charge £150 to your credit card.

TABLE BOOKING / CANCELLATION
Please note that the time you have booked is when we need you to be sat at the table. If you are running late, please contact us and let us know to avoid cancellation of your booking. If you need to cancel, we would like 72 hours’ notice by calling 01903240197 or 07305931004.
At the time of booking, we will need credit card details to secure your reservation, but don’t worry we won’t take payment at this time. If you don’t arrive for your booking or cancel your booking after the 72-hour deadline, there will be a no-show fee of £25 per person auto-charged to your card.
Kindly note that throughout the year the cancellation policy may vary and these will be communicated at time of booking and highlighted on the confirmation.

CHALET BOOKING / CANCELLATION POLICY
Our Chalet is suitable for parties, events of between Minimum 6 people and Maximum 10 people. Reservations require card details to confirm the booking and you will be contacted prior to the reservation for pre-payment.

Reservations are subject to a 72-hour cancellation policy, after this time payment would be non-refundable.

COVID-19 / CANCELLATION POLICY
At Orchid House we are following the latest guidance from the Government. From Thursday 27th January 2022, there will no longer be a necessity to wear masks in any areas of our premises.

Our teams will no longer be required to wear masks but some may choose to continue to do so. You are of course welcome to carry on wearing them if you feel more comfortable.
​
Hand sanitisation points will continue to be in place throughout and we will carry on with our rigorous cleaning processes.

VAT / SERVICE CHARGES
VAT is included at the current rate but is subject to change without notice.

In our bar and restaurant, a discretionary service charge of 12.0% will be applied to your bill and shared amongst our team members.
We do not operate a Room Service. Meals and beverages are served in the restaurant and bar.

CAR PARKING
Car Parking is provided on a first come first served basis for residents only and is charged at £10 per night for guests.

Whilst the car park is safe and secure, Orchid House does not accept any responsibility for any damage to your vehicle. You choose to park in the car park entirely at your own discretion.
